Undergraduate Office Administrator

The incumbent is required to manage and administer all tasks within the scope of the Undergraduate Office, including:

UG Course Matters

• Curriculum Management
• Semester Timetabling and Course Registration
• Examination Matters
• Internship and exchange coordination
• FYP/IRP/URECA matters
• Maintain website content
• Processing tasks including
• Process LOA, Course Change, Exemption, reinstatement etc.
• Student Feedback Matters
• Maintain proper documentation, archival and updates of UG materials e.g. study plan, syllabus etc.

Others

• Accreditation
• Hiring and Reimbursement
• Handle any secretariat duties
• Any other duties/projects assigned by RO

Requirements:

• Diploma or higher degree, in any discipline
• 2-5 years experience in administrative and operations roles
• Proficient in Microsoft 365 applications
• Strong verbal and written communication skills to effectively engage stakeholders, fostering a collaborative environment and building positive relationships to achieve shared objectives
• Meticulous and able to work independently
• Task-oriented and ability to manage tight deadlines
• Proactive and a positive attitude towards all work assignments
• Possess strong analytical skills to identify issues, evaluate options, and implement solutions effectively
• Flexible and adaptable to navigate the fast-changing education landscape
• Good planning and organizational skills
• Ability to work effectively under pressure
• Dedicated team player committed to prioritizing both team and organizational needs
• Has a thirst for learning and able to apply knowledge and skills to improve quality of work
